We are dedicated to your utmost satisfaction and are steadfast in our pursuit to offer secure and enjoyable travel experiences, free from any uncertainties. Prior to registering for any of our tour packages, we kindly urge you to thoroughly review and comprehend the booking conditions for your holiday. Your understanding of these terms is crucial in ensuring a seamless and fulfilling travel experience for all.

The 'Terms and Conditions' provided herein or on our website, along with the Tour Registration Form, Quotation, and any other printed material, including the 'Frequently Asked Questions (FAQ)' and 'How To Book Your Tour,' constitute the framework of our contractual agreement with you. It is imperative that you adhere strictly to all the terms and conditions outlined herein when booking any of our tour packages.

Scope of Activities:

Swami Narayan Nepal Yatra is primarily a travel and holiday organizer. We facilitate arrangements for your trips but do not directly manage airlines, transportation modes such as shipping, railways, motor vehicles, buses, or coaches. Additionally, our Tours and Travels Division does not have control over hotels, transportation, or other services mentioned in our itineraries. While we carefully select our partners based on our experience and their market reputation, we do not oversee their operations.

We strive to ensure your holiday is comfortable by selecting reputable partners. However, we want to clarify that we are not liable for any injury, loss, personal harm, death, or property damage resulting from the actions or negligence of independent contractors, their management, or employees. Should such situations arise, you may pursue compensation directly from the independent contractors according to the law for their actions or negligence.

Please note that this disclaimer is a standard part of our terms and conditions to ensure transparency and clarity regarding our role and responsibilities in facilitating your travel experiences.

Meals

During our tours, we ensure the provision of hygienic, delicious, and pure vegetarian meals, with specific meal types clearly outlined below. Unlike airlines, we cannot accommodate special meal requests or guarantee special diets for passengers, except as specified below and upon prior arrangement.

Our meal offerings consist of morning breakfast, lunch, evening tea/coffee, and dinner. However, we reserve the right to alter meal arrangements if circumstances necessitate such changes. Should a tour participant miss any meal due to any reason, no claim can be made for the missed and unused meal.

Please note that during train journeys, we do not provide food service. Meals are predominantly sourced from hotels and adhere to various meal plans such as CP (Continental Plan, includes breakfast only), MAP (Modified American Plan, includes breakfast and either lunch or dinner), and AP (American Plan, includes breakfast, lunch, and dinner) as described below:

- CP (Continental Plan): Breakfast served from the second day until the last day of the tour.

- MAP (Modified American Plan): Breakfast served from the first day until the last day of the tour, along with either lunch or dinner served from the first day until a day before the last day of the tour.

- AP (American Plan): Breakfast served from the second day until the last day of the tour, along with lunch served from the second day until a day before the last day of the tour, and dinner served from the first day until a day before the last day of the tour.
Hotels

During your sightseeing tours, rest assured that we've carefully selected comfortable accommodations for you. Most rooms come with private baths or showers and may be situated either in the city center or away from it. Amenities like air conditioning and central heating are subject to the hotel's discretion, depending on factors such as weather and local systems.

Triple rooms are typically not larger than twin rooms, with the third bed often being a roll-away mattress placed in a twin-bedded room. Guests must adhere to the hotels' check-in and check-out times.

While we haven't disclosed specific hotel names, we reserve the right to change accommodations due to unforeseen circumstances, providing similar alternatives without refunds. Rooms will be assigned according to hotel check-in times, and guests must vacate by the check-out time.

In certain government or private hotels, full deposits may be required in advance to confirm reservations. Unfortunately, no refunds can be given for amendments, cancellations, or non-utilization of these services. Additionally, no extra beds are provided for children under 12 unless specifically requested and paid for.

Note :

In many hotels, an extra bed typically includes a mattress accompanied by bed linens, a blanket, and a pillow.Regarding tours, the standard check-in time for hotels and resorts is usually at 12 noon, with check-out typically scheduled for 10 am. Some establishments may vary, and guests are expected to manage any early arrivals or late departures according to the specific timings of the hotel or resort they are staying at. We do not assume responsibility or liability for any loss of baggage or personal belongings that may occur during your stay at the hotel. Additionally, any damage incurred to the hotel property during your stay will be your responsibility to settle, as the company will not be held liable for such incidents.

Transfer of Tour

A transfer from the originally booked tour to another tour will be treated as a cancellation on that tour and a fresh booking on another. All cancellation charges as stated herein will apply. Tour price and discounts available during fresh booking will be applicable.

Photographs

swami narayan nepal yatra reserves the right to publish the passengers’ photographs or group photographs taken during the tour without intimation or permission from the said passenger(s) for promotional activities of tourism.

Discount

The company reserves the right to amend, alter, vary or withdraw any of the discounts without prior intimation. The discount is valid for limited number of seats and limited period only. The discount given to the passengers will be at the sole discretion of the company and may vary from passenger to passenger and for bookings done on different dates for the same tour due to various factors. To avail of the discount, traveller must pay the minimum registration amount at the time of booking itself. Discounts are not available on amounts charged for children

Privacy of Information

Company will treat all the information furnished by you as confidential and will share only the necessary information with airlines, hotels and other service providers like airlines, hotels and others who will provide the services to you during your tour. However, we may be constrained to disclose the said information, if required by the law or by an order of a court government / statutory authority over the company. While booking your tour, please provide your Government Issued ID Card/ PAN number as per central Government regulation.

Cancellation

All services such as airline seats / hotel accommodation / ground transportation are pre blocked well in advance. We are liable to pay penalties to all our suppliers / vendors / independent contractors if these services are released within the mentioned time frame. If the passengers have to cancel the tour due to any reason, they have to make an application in writing to that effect, along with the original receipt issued by the company. Such cancellation will attract the cancellation charges as per tour policy.

20% Of Total Package Cost (Non Refundable).

50% Of Total Package Cost if cancelling on/within 21 days of travel date.

75% Of Total Package Cost if cancelling on/within 15 days of travel date.

100% Of Total Package Cost if cancelling on/within 07 days of travel date.

Payment Policy

After your confirmation we have to pay & book with various providers / suppliers. So, you have to abide with the following payment policy to avoid any hassle / confusion. (Note : Traveller need to pay 100% of the amount to book the rail & flight tickets, if being purchased through us). Payment for land packages must followed as below.

25% as 1st Payment                For Booking Confirmation.

30% as 2nd Payment               On or before 21 days of travel date.

35% as 3rd Payment               On or before 15 days of travel date.

10% as 4th Payment               On or before 07 days of travel date.

Payment Procedure

There is no contract between swami narayan nepal yatra and the passenger until appropriate payments are received according to the payment terms. If full payments are not made within the time frame, the company reserves the right to cancel the booking with consequent loss of deposit and apply cancellation charges as applicable or forfeit the amount paid as cancellation.

The entire tour cost or booking amount as agreed, vide cash / local cheque (Gorakhpur) / demand draft(DD) in the name of “swami narayan nepal yatra” has to be paid at the time of booking.

Total balance amount is to be paid 07 days prior to tour departure without waiting for reminder from swami narayan nepal yatra, as per schedule in cash / DD / localcheque (Gorakhpur). If booking is made within 20 days of tour departure, full payment along with “Tour Booking Form” shall be accepted vide cash / local cheque / DD in our Gorakhpur Office only. Please do not make any cash payments except directly to us under swami narayan nepal yatra cash receipt. Full air / rail fare must be paid 2 months in advance. Any amount in this head has to be paid in favour of swami narayan nepal yatra, payable by DD / local cheque (Gorakhpur).

Jurisdiction

Any contract or agreement entered into with the company are entered at Gorakhpur (UP). Therefore any disputes or matters pertaining to the tours, clubbed individual departures or other services, will be subject to Gorakhpur (UP) jurisdiction only. A contract or agreement is deemed only upon issuance of any official swami narayan nepal yatra money receipt.

Booking Arrangement

We have made arrangements with some tour Travel Operators / Persons to facilitate information dissemination and tour bookings. swami narayan nepal yatra does not take any responsibility for tours, packages or services sold by these representatives, which are not published in swami narayan nepal yatra brochure / Quotation or operated / managed by swami narayan nepal yatra. All payments made to them will have to be as per their payment terms & swami narayan nepal yatra is not liable / responsible for any loss of such payment made to any of our vendors.

Tour Cost Exclude

Railway / airfare, laundry, excess luggage charge, bed tea, room service, tips, portage at airport, railway stations or buses, charges for surfing, fishing, medical expenses, meals and snacks on rail and long distance bus journey of six hours or more, any entertainment programmes and other items of personal nature& things which are not specifically mentioned as included in the tour details.

Amendment Policy (Prepone & Postpone)

In case traveller wishes to prepone /postpone his or her travel dates, we request you to kindly reach us 30 days prior to journey date via mail.

Traveller can postpone/prepone their tour once without any additional charges (if intimated before 30 days of travel date in written). However postponing & preponing second time will attract additional charges. Also note that few service providers (Hoteliers, Transporter etc.) may apply rescheduling charges even after meeting above requirement. In such cases rescheduling charges will deducted from the advance payment.

In all rescheduling scenarios, the services and cost will be subject to availability season/off season time.

4. Validity to utilize your advance payment in reschedule scenario is 1 Year from the date of advance payment.

5. Advance payment against your final quote, are transferable i.e. you can pass on your booking to any of your friends/ relatives. (Note : In order to transfer your booking you must meet the above requirement first.)

6. Any amendment requested during the tour, will be treated as a fresh booking and additional cost will be charged other than earlier allocated tour cost.

Unavoidable Circumstances

If the tour program has to be changed / extended and sight seeing postponed/cancelled due to reasons beyond our control like riots, political unrest, bandhs, accidents, or any natural/ man made calamities, the passengers will have to accept changes made in itinerary, hotel, transport and bear the additional expenditure incurred to facilitate the same.

If any passenger leaves the tour mid-way, due to any reasons whatsoever, no refund shall be offered for the remaining portion of the tour. The expenses for the return journey shall also be borne by the passenger on tour itself.

Government Tax

Please note that any Tax including GST as applicable by government on air fare and railway service etc. will be collected at actuals from Passengers

General

The passenger has to follow a high standard of reasonableness in his / her behaviour and approach and respect to the customs so that no disturbance is caused to fellow members of tour or general public at public places so as to make his / her as well as others tour comfortable. The passenger will not be indulging in any unwarranted or illegal activities during such tour and also he / she shall be solely responsible and liable for any such activities without attributing anything to swami narayan nepal yatra.
